Installation

The decision regarding which servers to install Trinity TMS on is entirely up to you.

We recommend our Private Cloud Hosting, which offers system and application support as a one-stop service along with secure data storage in Germany.

However, some customers have also implemented Trinity TMS in their own or affiliated data centers. From Trinity’s perspective, these are considered „on Premise“-installations.

Our project team assists new customers in setting up customized permission profiles for different user types, importing master data, and creating sample financial transactions, financial plans, analyses, reports, and more. Once training is complete, data ownership is transferred to the customer.

Private Cloud Hosting

Trinity TMS has been successfully offered for many years as part of what is known as Application Service Provisioning in the private cloud. “Private cloud” means that the Treasury Management System is set up individually for each of our customers in a German data center and is accessible only to users authorized by the customer. The Treasury Management System is accessible globally via the Internet, and Trinity ensures that the system and database are up and running and is available to answer your questions.

“With Trinity, we have implemented a highly reliable, private cloud-based treasury management system worldwide that ensures full transparency regarding our current liquidity status, short-term cash management, and long-term liquidity planning.”

Veronika Fichtner, Head of Corporate Finance & Treasury, LEDVANCE GmbH

This “software-as-a-service” deployment model allows the finance department to start using the desired system functions very quickly. Trinity sets up the hardware resources (computers, storage), infrastructure (Internet connection, networks, interfaces), supporting software such as the operating system and web server, the central database, and the application for the customer and then makes them available for use.

The key benefits of the Trinity Private Cloud are:

  • Quick setup of access to use Trinity TMS worldwide
  • Single Sign-On and integration with customers’ ID management systems are possible
  • High degree of self-management and configuration of the application and user settings by the customer
  • No need to maintain (additional) specialists for installation, operation, backup, and maintenance of the application and database
  • Professional hosting and data center operations with continuous functional and security monitoring, as well as high availability
  • High data security through data storage exclusively in Germany and appropriate technical and organizational measures
  • Data sovereignty remains with the customer; each installation is isolated from others
  • There is no need for the customer to order or procure expensive hardware
  • Scaling in terms of user, functionality, and storage capacity expansion is possible at any time
  • Trinity serves as the customer’s central contract and contact partner (hotline, updates, further development)

To ensure uninterrupted operations, Trinity offers its customers—even in the standard version of the Private Cloud implementation—installation in an ISO 27001-certified, high-security data center that is also used by credit and financial institutions. SOC 2-certified hosting services can be provided. In addition to the production system, test or backup systems can be set up. However, our customers regularly confirm that the robust application functions very well even without dynamic backups.

Upon request, customer data can be stored in the database in encrypted form (Transparent Data Encryption AES 256). As part of the hosting agreement, Trinity performs regular backups and updates of the application. The recovery time objective (RTO) and the maximum tolerable period during which data loss would be acceptable (RPO) can be optimized upon request through various measures. If the execution of time-critical activities and processes requires it, Trinity TMS can also be implemented with geographic redundancy across two data centers using hot backup. All data centers we use are located in Germany, are ISO 27001-certified, and are protected against unauthorized access through appropriate technical and organizational measures.

The following certificates, for example, can be offered for hosting services:

  • Information Security Management System according to ISO/IEC 27001
  • C5 (BSI Cloud Computing Compliance Criteria Catalog)
  • ISO 22301 (Business Continuity Management)
  • SOC 1, SOC 2, SOC 3 (System and Organization Controls)
  • ISO 27017 (Cloud-Specific Controls)
  • ISO 27018 (Personal Information Protection Controls)
  • ISO 27701 (Privacy Information Management)
  • ISO 20000-1 (Service Management Systems)
  • EU Cloud CoC,
  • CST CCRF
  • TISAX (Trusted Information Security Assessment Exchange)
  • Quality Management System in accordance with ISO 9001

The data centers used, which are based in Germany, also feature:

  • ISO 27001 (Information Security Management)
  • ISO 14001 (Environmental Management)
  • ISO 50001 (Energy Management)
  • ISO 45001 (Occupational Health and Safety Management)
  • ISO 9001 (Quality Management)

The campus of the data center provided as standard by Trinity serves as a critical connectivity and cloud hub, offering access to DE-CIX as well as numerous leading international and regional carriers, ISPs, and cloud providers. Access for Trinity customers can be secured individually via Virtual Private Network (VPN) connections or Single Sign-On with Active Directory queries.

Access to the application is generally granted via username and password, supplemented by two-factor authentication using time-based one-time passwords. Trinity TMS features its own multidimensional authorization system and various options for defining minimum standards for secure passwords.

On-Premise Installation

Trinity TMS can also be installed on your servers or in a data center of your choice. The web-based version of Trinity TMS has been available since 2004, so a small number of long-standing customers still use on-premises installations. This requires establishing the necessary technical and organizational infrastructure, as well as procuring licenses for the Oracle database, operating system, and web server.

In addition, some customers utilize the computing power of well-known hyperscalers such as Google Cloud or Amazon Web Services. In all cases, data protection regulations should always be carefully reviewed for compliance with EU and GDPR requirements.

Trinity supports customers who, from their perspective, operate “on-premises” installations, but recommends using the Trinity Private Cloud offering because:

  • the offering is proven and allows for a quick start
  • Trinity serves as your central point of contact
  • Data is stored exclusively in Germany
  • You retain data sovereignty
  • Unauthorized access to the data from abroad is not permitted
  • Through resource sharing—while simultaneously isolating individual customer installations—higher security standards and performance levels are achieved.
  • Issues can be resolved more quickly thanks to clear processes and defined responsibilities
  • Updates are performed by Trinity.

Implementation

Once your TMS is installed, the Trinity team won’t leave you on your own. We’ll help you get up and running and share our experience with you through guidance on best practices. Our colleagues have more than 25 years of experience in this field, having worked on several hundred projects—some of which were highly customized.

“We were impressed by their highly practical approach to implementing the treasury system, which was very complex due to our requirements. We can definitely recommend Trinity.”

Simon Printz, Head of Group Financing, CECONOMY AG

Most implementations, especially those in the Trinity Private Cloud, are quick and easy. The customer explains their requirements and expectations, and these are implemented collaboratively after installation. We actively assist in populating the Treasury Management System with master data and account information so that users can find “their” data right from their first training session and quickly begin working in the new system.

Over 150 reports and analyses are already preconfigured and ready for immediate use. Integration into the existing system landscape and connections to services such as Internet trading, confirmation matching, and trade finance platforms can be set up quickly via standard interfaces.

“Expertise and efficient collaboration with an experienced partner are crucial to the success of such a massive project.”

Peter Bauschke, Leiter Corporate Treasury, Schaeffler Gruppe

For system rollouts characterized by complex requirements and a large number of stakeholders, a scoping workshop is conducted with the stakeholders prior to implementation.

During the scoping phase, we define as clearly as possible what needs to be implemented in the project, how it will be done, and by when. The goal is to create a scoping document to serve as a guide for the tasks to be completed. This results in the allocation of responsibilities and resources, as well as a project timeline.

The client, Trinity, and, if applicable, other external stakeholders (e.g., consultants, auditors, service providers) form project teams comprising specialists, end users, and project managers with decision-making authority. Communication takes place at the management level; the client’s IT department is involved only minimally, particularly in the case of private cloud installations.

To ensure an efficient process, scoping is limited to what is essential for the client and does not cover all of the software’s functions. Once the scoping document has been approved, every participant knows what needs to be done to achieve the common goal. Conflicts arising from differing interpretations can be ruled out in the further course of the project through clear descriptions.

“Trinity understood our requirements right away and quickly implemented our special requests as well.”

Training and Support

Freundliches Service-Team mit Headsets im Büro, im Vordergrund eine lächelnde Mitarbeiterin mit Daumen hoch.

It is important to us that Trinity TMS users are able to navigate the system and that their questions are answered appropriately as quickly as possible. That is why we have designed the system to be intuitive and generally provide training and ongoing support ourselves.

We train the “primary users” (also known as “heavy users”), who pass on the knowledge they have acquired to users who use the system only to a limited extent—for example, to provide planning data or account information from a foreign sales office. These local “light users” really only need to know how to access the program to enter data, view information, or initiate automated processes. The tasks of these decentralized users can be similar or quite different and are usually defined by the central users, as this is the only way to properly consolidate local plans across one or more levels at the corporate level.

The “heavy users”—who may work across multiple modules and hold various front-, middle-, and back-office roles in cash and treasury management—are therefore trained by us in German or English specifically for their profiles and tasks, so that they can achieve good results in a short amount of time. If the training sessions span several days, practice exercises are distributed throughout to help users become familiar with the system.

Liquidity planning is intentionally designed to resemble a spreadsheet, as many users have worked with such tools in the past. However, Trinity’s liquidity planning system draws on all available information—including details on the original currency, source, and timestamp—and offers advanced features. The intuitive design of the input screens for financial transactions has often resulted in loans and foreign exchange transactions being entered into the system even before the first training session.

“The software is easy to use, and its sophisticated administration concept provides an excellent way to respond flexibly to changing requirements for specific treasury processes as needed.”

Simon Printz, Head of Group Financing, CECONOMY AG

The personal touch we provide during training continues when handling subsequent inquiries. Whether it’s resolving issues, answering questions, or providing a brief refresher course, the Trinity hotline is always here to listen and can resolve most matters quickly.

“The support team provides targeted assistance when needed and offers valuable tips.”

Gerlind Rhode, Cash Managerin, E.DIS AG

Since we have supported the implementation in most cases, we are very familiar with our customers, their installations, and their specific requirements, allowing us to respond to inquiries quickly and effectively. Sometimes we also use a video conferencing tool to work out a solution together with the user. Remote maintenance access is rarely needed; it is intended for emergencies and must be authorized by the customer each time it is used.

Trinity TMS users appreciate having familiar points of contact and the solution- and customer-oriented approach of our colleagues, and we appreciate that on many days, the hotline isn’t used at all—because there are no problems.

System Integration

Transmitting data to and from surrounding systems requires extensive expertise in connectivity. It is important not only to know which data best contributes to solving a problem, but also which technology makes the most sense to use.

For example, Trinity uses modern REST APIs in digital guarantee management and web services for processing treasury payments. For the automated import of operational cash flows as planned data, CSV or XLS(X)-based file exchange via SFTP directories is used due to the large number of ERP, controlling, and other systems in use. For certain connections, however, web services are also replacing traditional interfaces. Regardless of the technology used, appropriate security measures must be ensured.
For the automatic conversion of account transactions into posting instructions, Trinity offers a flexibly customizable account assignment feature for its TMS that can be integrated with various accounting systems.

“The internal settlement process is now efficiently automated, from the upload of receivables to the posting after the netting run.”

Holger Schulz, Head of Treasury, TMD Friction Holdings GmbH

You can find more information on “Data and Processes” here… As long as there is no standardized API for banks and ERP systems, users will appreciate a TMS provider that can meet their needs with a variety of alternative solutions in a practical way and with minimal effort.

“The system offers many features that make daily work easier and, at the same time, make processes safer.”

(Further -) Development

Trinity TMS is continuously being developed as a cash, treasury, and risk management system with currency-specific liquidity planning. Ever-changing market requirements drive us forward, and our customers’ needs are continuously factored into our release planning. Regulatory and many technical requirements often come with a specified implementation deadline that must be met; in some cases, clients also set deadlines for the implementation of new programming as part of their carve-outs or initial public offerings.

“The Trinity team is always willing to discuss our requirements and implement the resulting adjustments.”

Dr. Andreas Neeb, Senior Manager Treasury, LEDVANCE GmbH

Major releases are issued approximately every nine months. The numerous requests for changes and enhancements are tracked through a modern task and project management system. Trinity coordinates the release content internally and with customers, prioritizing and defining it in such a way that as many Trinity TMS users as possible benefit from the new features in subsequent releases. Time-critical security patches are the only items that may interrupt an approved release schedule. Trinity regularly informs its customers about release highlights.
Technology shifts present special challenges for software manufacturers. Trinity consistently acquires the necessary expertise at a very early stage and was thus one of the first providers in 2004 to offer a browser-based treasury management system for global use via the Internet. In particular, this made the consolidation of decentralized information easier, faster, and more reliable.

“Both the solution and the reports provided were ready for immediate use without requiring major adjustments. The practical preconfiguration thus enabled an exceptionally quick and smooth implementation.”

Gerlind Rhode, Cash Managerin, E.DIS AG
